You can book your trip as you see fit, via a tour operator, directly with an air carrier or on-line office of your choosing. With effect from 06.07.12, the fare may no longer be acquired through a contractual tour operator or directly from the carrier. Contracts are at your free disposal:

Flight costs purchased in connection with award programs such as miles, my purse or credit are non-refundable. Append to the statement of charges (ER) in ARIBA. Don't mail to the agency. A unique annually renewed permit is accepted for regular trips (must be attached to the ER each time).

The proof of prepayment and the route is necessary regardless of the costs. Check the refund policy and whether a per diem offer has been completed. Under the Fly America Act, U.S. certified airlines are mandated to provide government-funded global services. In order to be eligible for a refund, the costs of each article must be indicated on the voucher or route (airfare, flight taxes, room rates per overnight, room taxes per overnight, etc.).

It is not possible to prove the operating expenses and no individual benefits for the traveller if individual elements of the costs of a tour cannot be declared. You must enclose evidence of this with your statement of expenses. Parcel delivery should be used as a last resort once these ressources are used up.
